ROLE SUMMARY

The Meetings, External Engagements, & Travel (MEET) APAC Hospitality Senior Analyst plays a crucial role in supporting hotel and venue selection operations across the APAC region. This position is responsible for booking accommodations and venues for qualifying events, coordinating with Meeting Planning Agencies (MPAs) to ensure effective communication of hotel and venue details, and addressing inquiries related to hotel and venue selection as required.

The senior analyst will serve as the primary point of contact for commercial colleagues regarding any hotel or venue-related business needs, and will proactively address issues that may arise during the selection process. And they will demonstrate accountability and integrity in the face of challenge and respond to change with agility, optimism, and innovation.

Collaboration is essential in this role, as the senior analyst will work closely with the APAC MEET Regional Hospitality Lead, MEET Regional Operations teams, in-market Service Ambassadors, and other regional stakeholders, including the Process Integrations and Controls Lead, the Partner Standards & Innovation Lead, and various business and supplier partners.

This position reports directly to the APAC MEET Regional Hospitality Lead.

Hotel and Venue Selection

  • Execute daily hotel and venue selection activities for the APAC region, under the direct supervision of the Regional Hospitality Lead.
  • Collaborate with commercial colleagues to ensure that all business needs and requirements related to hotel and venue selection are effectively addressed.
  • Ensure compliance with Pfizer policies and local regulations regarding hotel and venue selection. Work with Legal and Local Compliance to get approvals for exceptions when needed
  • Monitor alignment with key performance indicators (KPIs) related to timelines for hotel and venue selection.
  • Coordinate with Meeting Planning Agencies (MPAs) to ensure that all hotel and venue information is accurately communicated.
  • Partner with MPAs to ensure reconciliation activities are conducted accurately and in accordance with service level agreements (SLAs).
  • Validate and clarify all supplier responses before presenting them for selection.
  • Ensure adherence to all deadlines and SLAs.
  • Maintain up-to-date records of key fields and requirements in relevant systems (e.g., Cvent).
  • Negotiate optimal pricing and concessions for Pfizer.
  • Act as the first point of contact for resolving issues related to the hotel and venue selection process, escalating questions or challenges to the Regional Hospitality Lead as necessary.
  • Provide leadership on special assignments
  • Support roll-out activities, such as translations, testing, and training plans (design, execution, and maintenance)
  • Employ innovative approach to assisting in improving processes and ability to train and deploy changes
  • Support on training and documentation processes.
  • Lead market touchpoints, support Hospitality Analyst on escalations and leadership on special assignments.

Standard Hotel Contract (SHC)

  • Oversee the execution of all hotel and venue contracts, ensuring adherence to the Standard Hotel Contract.
  • Maintain a comprehensive understanding of and strong relationships with properties that comply with SHC standards.
  • Cultivate an in-depth knowledge of compliant hotels in the region to provide consultative recommendations to the business.

Stakeholder Engagement

  • Act as the primary point of contact for the business regarding day-to-day inquiries and activities related to hotel and venue selection.
  • Foster and maintain positive relationships with hotel partners.

BASIC QUALIFICATIONS

  • Strong stakeholder management skills
  • Comprehensive knowledge and expertise in the technology landscape that supports MEET
  • Experience with accounting or compliance / audit transactions, preferably in a shared service with strong compliance controls
  • Ability to manage multiple stakeholders
  • Proficiency in PC skills (MS Excel, Word, PowerPoint) required
  • Good organizational skills to coordinate and manage multiple priorities
  • Strong technical skills in managing transactions within a system
  • Strong written and verbal communication skills enabling effective communication with all levels of management
  • Strong customer service skills and mindset
  • Understanding of compliance / financial controls
  • Strength with multitasking and ensuring accurate detail
  • Ability to work under pressure and to handle several projects at once
  • High level of self-motivation, energy and flexibility
  • Understanding of MAPP Policy terms and healthcare compliance policies
  • Strong interpersonal and organizational skills
  • Must have strong negotiation skills
  • Strong supplier relationships

PREFERRED QUALIFICATIONS

  • Typical Years of Experience:3+ years of experience in meeting planning or venue selection
  • Minimum of bachelor’s degree in Hospitality, Business, or a related discipline
  • Experience in pharmaceutical meetings operations
  • Background in hotel souring and venue selection preferred
  • Fluency in English and Chinese is a must; additional languages preferred
  • Comfort with ambiguity, anticipates changes, and influences direction of innovative operational strategies
  • Previous experience with pharmaceutical companies is preferred
  • Comprehensive knowledge of the meetings & travel industry
  • Fundamental knowledge of a large, customer facing operations team
  • Ability to engage with stakeholders to resolve issues and achieve objectives
  • Proficiency in PC skills (MS Excel, Word, PowerPoint) required
  • Knowledge of Cvent
  • Proficiency with data analysis and visualization
  • Experience with accounting or compliance / audit transactions, preferably in a shared service with strong compliance controls
  • Experience with Foreign Corrupt Practices Act transactions preferred

PHYSICAL/MENTAL REQUIREMENTS

Position is based in Dalian, China. Travel would be for work related needs only. Weekend work could be necessary based on volumes.
