What You Will Achieve

The Pfizer Records Management Manager will support Enterprise Records & Information Management’s (eRIM) strategic initiatives by overseeing activities pertaining to the management of the Enterprise Records Retention Schedule (ERRS) and archival of Pfizer’s Company Records.

This role will facilitate and lead the day-to-day activities pertaining to the oversight of the ERRS, in addition to supporting record ingest and retrieval processes for physical and electronic records managed and maintained by eRIM.

Responsibilities include:

  • Managing the ERRS, including customer inquiries, quarterly updates and periodic regulatory reviews

  • Providing oversight, guidance, training, and support to vendors & customers in support of archival needs

  • Utilizing Pfizer’s electronic repositories and solutions to support record management activities

  • Monitoring eRIM’s global mailbox to support customer requests and inquiries

As a member of eRIM, the Records Management Manager will work closely with the eRIM team, business line representatives, and third-party storage vendors to ensure the transfer of company records to eRIM’s managed archives and to ensure compliance with internal policies and controls, regulatory requirements, Corporate Policy/Procedure 405 and the ERRS. In addition, the Records Management Manager will manage relationships with key stakeholders, including close collaboration with Pfizer’s Digital teams supporting Pfizer’s ERRS tools.

In collaboration with eRIM colleagues, the Records Management Manager will determine appropriate Key Performance Indicators for eRIM service measurements; leverage existing data to optimize processes and increase customer experience and identify trends to drive continuous improvement.

How You Will Achieve It

  • Communicate with Enterprise Records & Information Management (eRIM) vendor partners to support records-related inquiries.

  • Partners closely with the Retention Schedule vendor and supports ad-hoc project needs.

  • Act as point of escalation for ERRS inquiries and issues.

  • Partner with eRIM colleagues to support Acquisitions and/or Divestitures by working with the customers and the applicable vendors.

  • Collaborate with Digital Migration teams on structured and unstructured data migration approach.

  • Establish and maintain ‘archive ready’ standards which determine the minimum metadata required for records of all media types prior to archive.

  • Works with internal customers and vendors to establish scope, responsibilities and costs for non ‘business-as-usual’ record projects.

  • Act as point of escalation for eRIM records storage vendor issues or concerns.

  • Monitor progress on all open company record inquiries across all records storage centers.

  • Track and provide metrics on eRIM services to ensure complete and proper handling of requests.

  • Monitor and ensure adherence to internal procedures and processes for managing Pfizer Company Records.

  • Establish and maintain accurate and up to date process documentation and perform quality reviews of work based on documented procedures and processes.

  • Support the eRIM mailbox to address inquiries and questions from Pfizer business lines.

  • Act as first point of contact for records-related requests from Pfizer business lines.

  • Prioritize work and set expectations and turnaround timelines to ensure litigation, audit, and business-as-usual needs are met.

  • Propose process and/or solution enhancements as needed to meet business needs.

Qualifications

Must-Have

  • Bachelor’s degree with at five years of relevant experience; ORMaster’s degree with three years of relevant experience; ORAssociate's degree with eight years of relevant experience; ORPh.D. with 0+ years of experience; OR10 years of relevant experience with a high school diploma or equivalent

  • Demonstrated proficiency in managing complex, cross-functional activities

  • Understanding of analytical models and techniques

  • Demonstrated capability to work independently

  • Good client engagement and customer relationship management skills

  • Articulate communicator with effective interpersonal skills

Nice-to-Have

  • Understanding and knowledge of pharmaceutical and record related regulations, both US and external to US

  • Understanding of the Drug Development Lifecycle and its associated records.

  • Understanding of digital records management, including data migration and database queries.

Some travel required to support Face to Face meetings with team members. Estimated to be less than 5 trips per year.

The annual base salary for this position ranges from $84200,00 to $140400,00. In addition, this position is eligible for participation in Pfizer’s Global Performance Plan with a bonus target of 12,5% of the base salary and eligibility to participate in our share based long term incentive program.
