Job Description
HEW is seeking an experienced Medical Scheduler / Administrative Assistant to join their team. This role is responsible for the maintenance of electronic health records, employee test scheduling and processing, and medical file preparation. This person will greet all those presenting to HEW and assigning to appropriate clinician/clinical staff. This role is also responsible for performing a range of supplemental administrative and general support services.
Additional responsibilities include:
- Direct the HEW support staff to ensure flow of patients and ensure patients are seen in a timely manner
- Work with all Divisions to ensure compliance with medical certification/surveillance
- Monitor medical and wellness email inbox to provide information to employees on programs and schedule
- Record Coordinator access to ARIMS
- Drug and ETOH test scheduling
- Work directly with Talent Acquisition group for onboarding of new hires
- Receive 911 calls from Argonne Fire Department
- Process Coordinator for the employee terminations
- Provide support in additional administrative assignments and follow-up on outstanding tasks
Position Requirements
- Ability to interact effectively and professionally with a large variety of diverse individuals in an often sensitive and fast paced environment
- Ability to prioritize and manage multiple concurrent tasks
- Effective and professional verbal and written communication skills
- Experience in a customer service position
- Knowledge of computer applications and record management systems
- Skill in scheduling appointments and coordinating onsite visits
- Knowledge of office practices and procedures
- Strong organizational skills
- Ability to model Argonne’s Core Values: Impact, Safety, Respect, Integrity, and Teamwork
- Preparing travel arrangements, preparing correspondence and reports, purchasing supplies, filing, coordinating procurement packages, and coordinating calendar.
Preferred
- Knowledge of ANL policies, procedures, and practices
