Summary
The H. Ben Taub Department of Physical Medicine and Rehabilitation, Baylor Medicine, McNair Campus Clinic, and extension where needed.
This role is responsible for managing medical assistants and nurses and working alongside the Medical Director to allow for physician provision of care in an outpatient environment;
Provide professional nursing and managerial expertise by ensuring compliance with regulations and policies, especially HIPPA, and ensuring and monitoring safe practices; understanding and facilitating EHR and telehealth services;
Partner with the Medical Director to create a patient centered environment to accomplish goals and promote growth of the clinic in the areas of patient experience, quality, access, employee and faculty engagement, satisfaction, growth and safety, revenue cycle and financial performance and competency.
The ideal candidate will have managerial experience in the outpatient clinic setting, overseeing medical assistants and working alongside physicians; excellent conflict resolution skills, quality improvement insight, ability to value the direct reports and assist in their growth; assist in the growth of the department and the physician practice through understanding the referral sources such as primary care, orthopedics, neurosurgery, etc. Will also understand the revenue cycle and promotes financially responsible use of department and clinic resources in all its aspects, to include (but not limited to) acquisition of supplies and patient and/or insurance payment for services, pre and post care.
Job Duties

- Understanding the policies and procedures of Baylor Medicine and how to access them when needed.
- Manages clinical staff in collaboration with the Medical Director with regard to staff schedules and duties, ensuring adequate staffing and physician availability and vacation scheduling.
- Understands the function and utilization of qgenda.
- Provides nursing expertise to staff regarding patient clinical questions and other clinical scenarios as they arise.
- Is well acquainted with live-answer, direct scheduling, fast pass.
- Implements communication strategies that are effective between staff, faculty and patients.
- Will regularly meeting with the staff in huddles and updating the Medical Director on the state of the department and its operations.
- Understands the nature of the physicians’ practices and ensuring appropriate referrals are coming to the department; working with the IT team to understand the decision tree of scheduling and working with the patient resource center and referral center to ensure a seamless intake process.
- Assists in the onboarding and offboarding process for staff and faculty.
- Understands the use of Epic for both clinical and administrative duties.
- Understands the referral and insurance processes for scheduling patients.
- Manages and delegates to staff to ensure clinical supplies are adequately available and ordered in a cost-effective and timely manner.
- Understands and manages the utilization of clinical equipment, such as the ultrasound and EMG machine.
- Understands the use of botox, hyaluronic acid injections.
- Collaborates with the Orthopedics and Neurosurgery team as well as primary care to ensure referrals are regularly being made to the department.
- Serves as a Nurse navigator to provide the specific support post clinic to improve patient outcomes.
- Manages clinical SGA accounts.
- Manages Baylor Medicine Medical Assistant’s budget for miscellaneous expenses.
- Manages Revenue cycle for PMR clinic.
- Manages the daily operations of the clinic and other duties as assigned.
Minimum Qualifications
- Associate’s Degree or Bachelor’s degree in Nursing.
- Three years of relevant experience as a Registered Nurse (RN).
- Current license as a Registered Nurse (RN) by the State of Texas Board of Nursing.
- Basic Life Support (BLS) from the American Heart Association.
- Certification in area of specialty for non-BSN incumbents.
